Capture, score, and manage your leads

LeadFlow

LeadFlow is a lead management and sales CRM. Capture leads from your website, score them with AI, manage your pipeline, and automate follow-ups — all from one dashboard.

What LeadFlow does

LeadFlow captures leads from your website, scores them so you know who to call first, and gives you a pipeline to track every deal from first contact to close.

Everything is organized by workspace. If you manage multiple clients, each one gets its own workspace with its own leads, pipeline, and settings.

Your pipeline

The Pipeline tab shows a Kanban board with columns for each stage: New, Contacted, Qualified, Proposal, Negotiation, Won, and Lost.

Drag lead cards between columns to move them through your sales process.

Each lead card shows the contact name, company, temperature (cold, warm, or hot), score, and assigned team member.

You can customize pipeline stages from your workspace settings.

Adding and managing leads

Click "New Lead" to add a lead manually. Enter their name, email, phone, company, job title, and website.

Set the source (website, referral, social media, cold call, etc.) and temperature (cold, warm, or hot).

The Leads tab shows all your leads in a sortable, filterable list. Filter by status, search by name or email, and sort by score or date.

On Growth plans and above, you can import leads from a CSV file using the Import tab.

Lead scoring

Every lead gets a score from 0 to 100. Higher scores mean the lead is more engaged and more likely to buy.

On plans with AI credits, scoring is powered by AI that analyzes the lead's behavior and data. On other plans, scoring uses rules based on completeness and engagement signals.

Sort your lead list by score to see your hottest leads at the top.

Lead capture widgets

On Growth plans and above, you can create embeddable forms that capture leads directly from your website.

Go to Settings → Widgets to create a new widget. Pick your fields (name, email, company, etc.), set a default source and tags, and customize the success message.

Each widget gets a unique embed code. Paste it into your website or use it with Reflect to place it on any page.

Sequences

Sequences are automated email campaigns that go out after a lead enters your system.

Go to the Sequences tab and click to create a new one. Add email steps with delays between them — for example, email one goes out immediately, email two goes out three days later.

Set enrollment triggers like "when a lead is created" or "when a tag is added." The sequence starts automatically.

Sequences stop when a lead replies, is marked won, or is marked lost.

Meeting scheduler

On Growth plans and above, create meeting types from Settings → Meetings. Set your availability, duration, and location (phone, Google Meet, or Zoom).

Each meeting type gets a public booking link. Share it with leads and they can book time on your calendar.

When someone books, a lead is automatically created (or linked to an existing one) and a meeting record is added to their timeline.

AI Sales Coach

The AI Coach tab gives you a daily briefing with your top priorities — which leads to call, what action to take, and why.

You can also ask the coach questions about your pipeline. It analyzes your data and gives recommendations.

Pipeline health checks show your pipeline strength and identify risks.

Team and assignments

On agency plans, invite team members from the Team tab. There are three roles: Owner, Head Agent, and Agent.

Owners can do everything. Head Agents can see all leads and assign them. Agents only see leads assigned to them.

You can set auto-assignment in your workspace settings. Choose round-robin to distribute leads evenly, or route all new leads to the head agent.

Analytics and reports

The Analytics tab shows conversion funnels, source effectiveness, time-in-stage averages, and agent leaderboards.

Reports let you build custom views grouped by source, status, temperature, or agent. Save reports and share them with your team.

Revenue forecasting (on Pro and above) gives you 30/60/90-day predictions based on your pipeline data.

Tips

Check your hottest leads every morning. Sort by score to see who needs attention first.

Set up at least one sequence for new leads. Automated follow-ups keep leads warm while you focus on closing.

Use lead capture widgets on your pricing and contact pages — these visitors are already interested.

Review your pipeline weekly. Move stale leads to Lost so your pipeline stays clean.

Common questions

How does lead scoring work?

Each lead gets a score from 0 to 100 based on their data and engagement. AI scoring uses multiple signals to predict buying intent. You can also customize scoring rules in your settings.

Can I connect LeadFlow to my CRM?

Yes. Use webhooks to send lead data to any CRM that accepts them. Set this up in your workspace settings.

Is there a limit on how many leads I can have?

Yes. Each plan has a lead limit — from 250 on Solo to unlimited on Enterprise. Check the pricing page for details.
